Bellingham Public Schools community use reservations are accepted on a first come first serve basis. All rental and use requests must be submitted through our online calendar, Tandem. Please visit听听to submit a request.

All rentals will require the following within 5 business days of submitting a request (if all documents are not received, the requested dates will be released):

    • Request via听
    • Certificate of insurance, and
    • Statement of Compliance (for Sports Only where participants are under 18 years of age)

Please note facility requests must be submitted a minimum of 5 business days prior to the requested date of use if staffing is not required by the District, and requests requiring staffing by the district must be submitted a minimum of 10 business days prior to requested date of use. Requests submitted less than 5 business days prior will not be reviewed.

 

**Effective immediately, field Scoreboards are not available to be rented or used by Community Renters.**

Facility Rentals in Bellingham Public Schools

Bellingham Public School facilities are provided by the public and should be made available to the community for use when practical and such use does not conflict with the operations of the district. District-sponsored activities, including curricular and co-curricular functions, retain first priority in use of facilities. Authorization for use of school facilities will not be considered as endorsement or approval of the activity, group or organization.

Requesting facility use

Create an account by visiting and submit a facility use request, email a certificate of liability insurance to facility.use@bellinghamschools.org, you will be contacted for additional information or clarification if needed. Please note facility requests must be submitted a minimum of 5 business days prior to the requested date of use if staffing is not required by the District, requests requiring staffing by the district must be submitted a minimum of 10 business days prior to requested date of use. Renter Categories and Rates

For rental rate purposes, organizations seeking the use of school facilities have been divided into five categories.听 It shall be the decision of the听Finance and听Operations听office to determine which rate schedule applies to any particular group. The following serves as a guideline and fees below may be modified based on duration of use, excessive wear and tear, revenue associated with use, etc.:

Category 1 District, School or Affiliated Groups: District, school, and affiliated groups such as school athletic teams, staff committees, professional development of district staff, PTA, booster clubs, ASB and similar groups. Adult sponsorship and supervision is required. Generally, there is no facility use fee for these groups other than when the district incurs extra utility, custodial, or supervision costs due to use or impact during and outside of regular school hours.

Category 2 Non-Profit Youth Centric Groups: Non-profit youth centric group use includes activities conducted by those organizations whose main purpose is to promote the welfare of students. Such as Scouts, Campfire, 4-H and similar groups. Adult sponsorship and supervision is required. All rentals are at the discretion of the district. All non-profit organizations shall submit their IRS Determination Letter at the time of application.听 Facility use fees apply for these groups and can include space, utility, custodial, or supervision fees based on the fee schedule and costs incurred by the district due to use or impact during and outside of regular school hours.

Category 3 Youth Sports Groups: Sports groups or individuals participating in a sport activity, comprised of pre-school-12th grade aged youth that do not align with another user group. Facility use fees apply for these groups. Separate fees for space, utilities, custodial or supervision will be charged based on the current facility use fee schedule and costs incurred by the district due to use or impact during and outside of regular school hours.

Category 4 Non-Profit Groups, Individual Community Members, Informal Groups, Religious Groups, Public Colleges, Universities and Government Agencies: Non-profit groups, individual community members, informal groups, religious groups, public colleges, universities and government agencies may use school facilities for lectures, promotional activities, rallies, entertainment, courses, religious meetings or other similar activities. All rentals are at the discretion of the district. All non-profit organizations shall submit their IRS Determination Letter at the time of application. Facility use fees apply for these groups and include space, utility, custodial, and supervision fees based on the fee schedule and costs incurred by the district due to use or impact during and outside of regular school hours.

Category 5 Commercial Enterprises: District facilities are available for use by commercial enterprises including for profit organizations and business-related enterprises at the discretion of the district. Commercial is defined as any individual, group, business or event that charges a monetary admission or fee, that solicits funds, sells food, tickets, or other goods in exchange for a money. All rentals are at the discretion of the district. Fair market facility use, utility, custodial, and supervision fees apply based on the fee schedule and costs incurred by the district due to use or impact during and outside of regular school hours.

Paying for your rental

Invoices will be mailed around the 15th of the month following the use of Bellingham Public School facilities. When sending in payment, include the bottom portion of your invoice with your payment. Please remit payment to:

Insurance Requirement

Insurance Documentation Required:听A Certificate of Insurance with a minimum $1 million liability that adds Bellingham School District #501, 1985 Barkley BLVD, Bellingham, WA听 98226 as additional insured per form CG2010, or equivalent. The additional insured form CG2010, or equivalent, must be attached to the certificate.

Public parking during non-school hours

Public parking during non-school hours is permitted on a first-come/first-served basis and use is not exclusive or guaranteed. Parking must be in designated spaces only, no reserving or marking of spaces is permitted without prior district approval, and no signage should be posted. Parking is at the user鈥檚 own risk and the district accepts no liability. Commercial shuttle companies shall not pick up or drop off on district property. Users may park in the lot and walk off the premises to access a shuttle.

Electric Vehicle Parking

Starting September 20, 2024, electric vehicle charging stations may be used by any member of the public, including district employees and students, subject to the payment of applicable charges and any posted limitations on hours of operation and length of time a vehicle may be parked in a parking space.

EV charging stations have the following fees:

  • Energy fee of $0.25 per kWh while charging
  • Charge of $0.25 per minute for occupying parking space after vehicle charging is complete, not to exceed $23, to allow for equitable access to EV charging stations

Any deviation to these dates must have prior district permission. In addition, use of the district facilities during the summer break period is limited (due to summer cleaning of facilities) and access is granted on a case-by-case basis.
